Ten fixed-price automations for the healthcare front office

This catalog is ten standard, healthcare-relevant automations, each with a published deployment price and monthly run fee, so a practice can pick one and book it without a discovery call or a quote-by-phone. Each one deploys on the Clineo Platform (we host and run it) or in your own cloud (you keep the asset). AI is used where it helps; plenty of these need no AI at all. Every deployment price and monthly run fee is published on the pricing page.

What each one fixes

  • Appointment reminders & confirmations: patients confirm by text or email on their own, so fewer slots sit empty and nobody at the desk spends the morning dialing.
  • Digital intake → chart-ready packet. New patients complete forms at home, and your team receives a clean, chart-ready packet instead of a clipboard to retype.
  • Review request engine: happy patients get a well-timed, polite ask, so your online reputation catches up with the care you actually give.
  • Patient recall / reactivation campaigns. Patients who are due (or overdue) for a visit get a friendly nudge instead of quietly falling off the schedule.
  • No-show follow-up & rebooking: a missed appointment triggers a courteous message with an easy path back onto the calendar, automatically.
  • Document collection & e-sign chasing. The system does the reminding until the signed paperwork actually arrives, so your staff doesn’t have to.
  • Referral intake & status tracking: inbound referrals land in one tracked queue with a status, so no referral sits unanswered in a fax tray.
  • Front-desk AI assistant (inbox triage & drafting). It sorts the shared inbox and drafts replies for your team to review and send, cutting inbox time without cutting the human out.
  • After-hours AI answering (FAQ + booking): answers common questions and books appointments when the office is closed, so tomorrow starts with bookings instead of voicemails.
  • Insurance eligibility pre-check. Coverage is checked before the visit, so eligibility surprises don’t happen at checkout.

We won’t sell you what your EHR already does

Plenty of EHRs, from TherapyNotes to SimplePractice to the larger enterprise systems, already ship some version of appointment reminders, patient recall, or eligibility checks. We don’t build redundant automation on top of a feature your EHR already runs. Before we recommend anything from this catalog, we check what your current system actually covers — and where it already does the job well, we leave it alone, or help you configure it properly (see Stack Stewardship). The catalog earns its price where your EHR’s version is missing, thin, or not one your staff actually uses. That’s the gap we fill, not a rebuild of what you already own, and not a claim of affiliation with any EHR vendor.

Beyond the catalog

Custom automations beyond the catalog are quoted fixed, in advance, so you’ll always know the full price before we start. And if you’re weighing where automation fits at all, the AI Adoption Sprint maps your workflows and deploys the first pilot. On the plan ladder, Growth includes two catalog automations with deployment waived and run fees included.

Which one first?

Take the proposal builder for a recommendation based on your practice, or start with the free audit of your current web presence. Not sure where to start at all? The AI Adoption Sprint maps your workflows first and picks the right one for you.

Frequently asked questions

What’s the difference between a catalog automation and a custom build?

A catalog automation is a proven workflow deployed at a fixed, published price with no scoping call. A custom build is anything the catalog doesn’t cover, still quoted fixed in advance, but scoped to your specific need. Most practices start with the catalog; see Custom Work if nothing here fits.

Will an automation duplicate what my EHR already does?

Not if we’ve checked first, which we always do. We compare the catalog against your EHR’s built-in reminders, recall, or eligibility features before recommending anything, and we won’t sell you a rebuild of a feature that’s already working.

Do these automations require AI?

No, most of the catalog is reliable workflow automation with no AI involved. AI is used only where it genuinely helps, such as the front-desk assistant that drafts inbox replies or the after-hours answering tool, and both are labeled as AI-based in the catalog above.

Why is a catalog automation faster to get running than a custom project?

Because the workflow is already built and the price is already fixed, so there’s no scoping call or custom-quote step before deployment starts. Custom work and cloud migrations take longer because they’re scoped to your practice first; see Cloud Solutions for that timeline.
